User Licenses in Business Central Explained
In this blog post, we'll explain what types of user licenses we are offering in our pricing plans, and when to choose which license. It's important to know because it's an excellent way for you to save money on your license costs.
Names users only
Licenses in Business Central are assigned on a ‘Named User’ basis only, meaning each user requires a separate User License. Named User Licenses cannot be shared, but an individual with a license may access the service through multiple devices.
So, it’s one Named User License for all your devices.
Two types of Business Central licenses
Traditionally, Microsoft offers three types of licenses:
- Team Member (read & approve)
- Essential User (all except service management & manufacturing)
- Premium User (all)
We simplified that model for you, and offer two types of licenses:
- Limited User (read & approve + limited editing capabilities)
- Full User (all, depending on your plan)
When is a Limited User License enough?
It all depends on what editing capabilities a user needs to perform his or her tasks.
Some users only require basic Dynamics 365 Business Central functionality. This license includes read access as well as some editing capabilities for select light tasks across Dynamics 365 Business Central functionality.
By giving these types of users a Limited User License, you make sure you're only paying for what they need. The only prerequisite is that you have at least one Full User License within your company.
Here's what a Limited User can do in Business Central:
- Read anything within Dynamics 365 Business Central
- Approve or reject tasks in all workflows assigned to them
- Create, edit, delete personal information
- Update existing data from customer, vendor or item records
- Create quotes and sales orders
- Enter a timesheet
A team of sales representatives on the road. Or workers on a construction site. These are just some examples of users who should manage perfectly with the Limiter User License.
